Plan

This is where you start. It’s about getting everything out of your head and structuring it: Who’s doing what? By when? What’s involved?

Typical View: List or Timeline (Gantt)

User: Strategic thinkers, team leads, early-stage planners

Manage

Once work is in motion, you need a way to adjust. This is where you reassign, shift deadlines, and balance capacity.

Typical View: Kanban by stage or phase

User: Project managers, team captains, operational leads

Do

This is the “get sh*t done” view. No fluff. No distractions. Just what you need to work on right now.

Typical View: Filtered list or personal kanban

User: Everyone doing focused work

See

Progress, patterns, problems. This is your rearview mirror and dashboard. It helps you track outcomes, spot issues, and reflect.

Typical View: Dashboards, charts, reports

User: Decision-makers, improvement nerds, teams doing retros

The best part?

You can build this into almost any tool. But first, you need to know which pieces are missing.

3 questions to test your system:

  1. Do you have a space where you plan work before assigning or doing it?
  2. Can you make in-progress adjustments easily without breaking the system?
  3. Is it obvious what each person should do today—and can they see their impact afterward?
